Front Desk Manager

The Front Desk Manager is responsible for front office activities including management of the school reception area, customer service, phones, mail, and office supplies. This position coordinates and supervises teacher substitutes and school visitors, manages front office coverage, supports annual staff required trainings, and assists on projects and any additional administrative support necessary for the
school.
JOB RESPONSIBILITIES
• Provides exceptional customer service in person and on the phone to families, staff, vendors and the community. Receives packages and communicates with vendors.
• Answers phones, listens to messages, and directs all calls to the appropriate person. Records and delivers messages.
• Greets visitors, observing front door protocols and security procedures.
• Manages the parent/visitor/faculty/staff sign-in books.
• Prepares and coordinates weekly check mailings and / or other mailings.
• Processes incoming and outgoing mail.
• Oversees the reception area to ensure effective telephone and mail communications both internally and externally to maintain high standards of school operations;
• Coordinates scheduling and supervision of front desk coverage.
• Maintains front office procedures, updating all forms, manuals and charts as necessary.
• Oversee office supplies: organizing, maintaining and communicating needs on a weekly basis to the Administrative Director and ordering supplies as needed.
• Assists with new staff on-boarding, helping to set up staff mailboxes, office supplies, phone orientation and security pin codes.
• Assists with administrative office upkeep including faculty break room and dishes needs.
• Supports administrative needs and setup for group meetings.
• Serves as the point of contact for teacher absences and coordinates substitutes.
• Serves as the point of contact for parents during the school day and calls parents as needed.
• Maintains substitute list and substitute binder.
• Manages daily student attendance and distributes tardy slips.
• Creates and maintains student files and School Directory.
• Conducts a Student Records Audit to ensure students have all necessary documents on file.
• Manages Transportation Release forms, Health and Allergy forms, and Medications forms, Physical/Immunization forms.
• Manages Class Lists.
• Create and maintain Student Reports.
• Create and maintain Field Trip Forms.
• Secure Bus Transportation for Field Trips.
• Create and maintain sign-up for Parent/Teacher Conferences.
• Provide administrative support for teachers.
School Morning Support:
• Places carpool cones outside and retrieve them.
• Maintains outside erase board.
• Walk late Early Childhood students to their classrooms.
Facility Support and Equipment Management:
• Coordinates the maintenance of office areas and equipment as well as layout, arrangement and housekeeping of office facilities in conjunction with the Facilities Manager.
• Coordinates the maintenance of office equipment, including copier, fax machine, etc.
• Conducts monthly fire drills and tornado drills.
• Coordinates annual staff trainings related to school licensing procedures.
MINIMUM REQUIREMENTS
Servant-leadership disposition and attitude.
High School graduate or equivalent required; college degree preferred.
At least 2 years of experience managing an office, school experience preferred.
Two years supervisory experience preferred.
Exemplary customer service skills, communication skills, and organizational skills required.
Valid driver’s license, personal vehicle for on-the-job transportation.
