The Business Manager serves various administrative functions at WSNO, primarily in tuition management, financial management, and human capital management. The Business Manager supports the financial development activities that support school financial solvency and sustainability. The Business Manager ensures accurate invoicing of tuition contracts and compassionate collection of payment. This position oversees the Tuition Adjustment Program (TAP) and Kennedy-Brown Scholarship
and helps guide families through the tuition adjustment and scholarship application process.
The Business Manager also supports the key financial management efforts of the school and serves as the liaison to the school accounting team. The Business Manager has administrative responsibility for employee recruitment, coordination of hiring/termination processes, administration of employee contracts, maintenance of employee records, and support for employee benefits.
The Business Manager must be able to perform their duties and responsibilities in an environment with frequent interruptions.
JOB RESPONSIBILITIES
TUITION MANAGEMENT:
• Prepare Billing Agreements & Payment Plans in TADS annually and as needed for new students
• Tracks Perpetual Enrollment Deposits for current students annually and Enrollment Deposits for New Students throughout the school year
• Monitor the invoicing and payment of tuition to ensure timely collection
• Monitor tuition accounts receivable and ensure student billing accounts are in good standing; maintain communications with families with past due accounts
• Work to meet or communicate with parents regarding billing, tuition assistance, and other financial issues
• Manage Tuition Refund Plan renewals with Dewar Insurance each year and submit documents and premium payments in accordance with policy requirements
• Oversee Tuition Refund Plan claims, communications, and refund payments in accordance with the policy
• Make recommendations to the Finance Committee to set the succeeding year's tuition and ensure tuition, fees, and deposit schedules are clearly communicated and adhered to
• Prepare review of annual Tuition & Fee Schedules, Tuition Payment Plans, Tuition Refund Plans, and Tuition Enrollment Contracts
• Update website and documents annually for changes in Tuition & Fees, TAPS, Tuition Refund Plan, and Financial Responsibility (Family Handbook)
TUITION ADJUSTMENT & SCHOLARSHIP MANAGEMENT:
• Responsible for managing all activities related to the operations of Tuition Adjustment and Scholarships
• Review all applications to the Tuition Adjustment Program (TAP) and Kennedy-Brown Scholarship and work with the Tuition Adjustment Committee to determine eligibility and need of each family, interview families as needed, document awards with a follow-up letter, and track awards on an annual basis
HUMAN RESOURCES
• Write and execute contracts for new staff and renewals for current staff
• Administer employee benefit programs, including health, dental and vision, disability, IRA; answer employee questions; support claim resolution; and maintain related systems
• Ensure compliance with applicable employment and immigration laws and regulations
• Responsible for new hire, termination, and change of status forms with payroll
• Serve as employee liaison to assist in problem resolution with issues related to benefit deductions and pay
• Maintain confidential Employee Records, ensuring information is up to date and complete
• Oversee new employee onboarding process, including background checks, orientation, paperwork, etc. for all applicable employees and volunteers
• Process bi-weekly payroll for all school employees
• Track paid time off in accordance with school polices and employment contracts
• Assist in maintenance of open job posting and in screening of job applicants, calling references, and forwarding qualified candidates to appropriate Hiring Committee
• Serve as back up for Front Desk Manager, as needed, to ensure telephone calls are answered and transferred, receive visitors at the Front Desk, ensure compliance with safety guidelines and WSNO policies regarding release of students.
• Support the Administration and Faculty in other general duties as needed and/or assigned
SUPPORT FOR VOLUNTEER PARTNERSHIPS
• Work in partnership with the Administrative Team, Teachers, and Staff to assess school services that can be volunteer opportunities in addition to or in lieu of paid services
• Support the volunteer management system in which desired school services can be added and filled by volunteers on an ongoing basis
• Work with the Administrative Director to personally engage and invite meaningful gifts of time and talent among Board members and families.
• Work in partnership with the Enrollment Director and Development Director to provide ongoing opportunities for volunteers, staff, and families to more deeply learn, share, and appreciate Waldorf School educational history, culture, philosophy, and values

EDUCATION & EXPERIENCE:
• Bachelors or Associates Degree required; Master’s Degree preferred.
• Minimum of 3 years professional experience required; a minimum of 5 years of professional experience preferred
• Prior experience in a school/education setting preferred.
• Prior experience managing a small business preferred.
